Spa Rules and Regulations

Loyalty Program

Last Revised: February 2026

 

By booking an appointment, purchasing a package or membership, redeeming loyalty points, or receiving services at Spa Lavender, you (“the client”) agree to all terms and conditions outlined below.

 

Spa Lavender reserves the right to update, modify, or enforce these policies at any time to ensure fairness, service quality, staff protection, and business operations. The most current version of these terms will always be available on our website.

 

General Policies

Spa Lavender reserves the right to refuse or discontinue services, memberships, packages, or loyalty participation at its discretion. We are not responsible for lost, stolen, or damaged personal property.

All services are subject to availability. Service duration, provider availability, and room assignments may vary.

 

Appointments, Deposits & Cancellations

 

Deposits

A 50% upfront deposit is required for all appointments booked without an active membership or package. Deposits secure your appointment time and compensate our providers in the event of late cancellations or no-shows.

Appointments may be cancelled if a required deposit is not placed.

 

Cancellation & No-Show Policy

A minimum of 24 hours’ notice is required to cancel or reschedule an appointment.

Cancellations made with less than 24 hours’ notice or failure to arrive for a scheduled appointment will result in:

  • A 50% cancellation fee, or

  • Forfeiture of the deposit, whichever applies

This policy is non-negotiable.

If a client is using a membership, package, or gift card and fails to provide proper notice or does not show, one service credit may be forfeited or a cancellation fee may apply.

 

Late Arrivals

Appointment times are reserved exclusively for each client. Late arrival may result in a shortened service to avoid impacting subsequent appointments or staff schedules. Full service value may still apply.

 

Minors

Minors receiving services must be accompanied by a parent or legal guardian, who must remain on the premises for the duration of the appointment. Service providers may request that the guardian be present in the treatment room.

The minimum age for massage or facial services is at the discretion of the provider.

Mini Lavender Package: available to clients 12 years of age or younger

Waxing services: available to clients 14 years of age or older

 

Packages

Packages are prepaid service bundles intended for regular use and are ideal for clients who prefer not to enroll in a monthly membership.

 

Package Expiration

Packages expire based on the number of sessions purchased:

  • 3-session packages: expire 3 months from purchase

  • 6-session packages: expire 6 months from purchase

  • 12-session packages: expire 12 months from purchase

 

All services must be redeemed before the expiration date. Unused services are non-refundable and cannot be reinstated.

 

Upon expiration, the client is no longer considered active in the Loyalty Program.

 

Package Rules

• Packages may be shared with guests

• Packages cannot be purchased using gift cards or certificates, including Spa Week gift cards

• Expired packages hold no cash or service value

 

Monthly Memberships

Monthly memberships are recurring monthly plans billed automatically to the card on file. Memberships are designed for clients who prefer spreading payments over time rather than paying upfront.

 

Each monthly payment provides one (1) service credit per billing cycle. Membership pricing reflects a discounted rate intended for regular, ongoing use.

 

Spa Lavender reserves the right to adjust membership pricing with reasonable notice. Clients will be notified in advance of any price changes and given time to cancel prior to the increase taking effect.

 

Memberships cannot be purchased using gift cards or certificates, including Spa Week gift cards.

 

Rollover Service Credits

Unused membership service credits may roll over from one month to the next.

• Members may hold a maximum of three (3) rollover credits at any time

• Once the rollover limit is reached, additional credits will not accrue

Rollover credits are intended for short-term flexibility, not long-term accumulation.

Upon cancellation or termination of a membership, unused rollover credits will expire 60 days after cancellation and are non-refundable. Expired credits cannot be renewed or reinstated.

 

Membership Freeze

Memberships may be frozen (paused) for a maximum of 60 days, after which the membership must be reactivated or terminated.

 

During a freeze:

  • Monthly billing is paused

  • Service credits do not accrue

  • Membership service credits may not be used

 

Memberships must be active for 30 days before they may be frozen again.

 

Previously earned loyalty points may be redeemed during a freeze for add-ons or retail products only. Loyalty points may not be redeemed for full services while a membership is frozen.

 

Loyalty Program

Spa Lavender’s Loyalty Program is available to clients who:

• Maintain an active monthly membership, or

• Have purchased an active package, or membership

• Remain in good standing

 

Earning Points

Loyalty points are earned on qualifying purchases excluding taxes, gratuity, gift cards, and certificates.

 

Points are non-transferable and may only be used by the original account holder.

 

Point Expiration & Limits

After a package is fully used or a membership is terminated, loyalty points must be redeemed within 60 days or they will expire.

 

Loyalty point balances are capped at 10,000 points. Points will not accrue beyond this limit until redeemed.

 

Spa Lavender reserves the right to modify loyalty earning rates, redemption values, or program structure at any time with reasonable notice.

 

Gift Cards

Gift cards:

• Are non-refundable

• Cannot be redeemed for cash

• Cannot be used to purchase memberships or packages unless explicitly stated

• Do not earn loyalty points at time of purchase

 

Policy Enforcement & Discretion

Spa Lavender reserves the right to enforce all policies to ensure fairness, service quality, and staff protection. Any exceptions are made at management discretion and do not establish precedent.

 

Failure to comply with Spa Lavender policies may result in refusal of service, cancellation of appointments, or termination of membership or package privileges.

 

Agreement

By booking services, purchasing packages or memberships, or receiving services at Spa Lavender, you acknowledge that you have read, understood, and agreed to all terms and conditions outlined above.

If you need to cancel or reschedule an appointment, you will need to do so within 24 hours of your appointment, to avoid being charged a fee. Any same day cancellations, not showing up to your appointment or changing your appointment the same day will result in a cancellation fee. This fee will be 50% of your service's total.
